Welcome to Brandeis Time or BTIME for short, the new myBrandeis Calendar. There are many new features, a new cleaner interface, and a more powerful back end.
Please read the FAQ for a step by step how-to for the new calendar.
You will also notice help icons (
) throughout the calendar. Click on these for a popup of quick help information.
The Calendar will be constantly under production to deliver upgrades and new features. If you encounter any bugs, or have additional questions or comments about the new calendar please send an email to webdev@lists.brandeis.edu

Q: Add/Edit a Calendar Item - Part I: Item Scheduling
A:
Title: - The title of the item should be short and descriptive, grabbing the attention of the reader.
Date: - The day of the event, or first day of a repeating event (this should link to repeating events)
All Day Event -or- Use Hours Below: - If your event will be running all day (9-5 or greater) than you should select the "All Day Event" button. Otherwise you should select the "Use Hours Below" button, and must fill in the start time and end time for your event.
Repeat: - Will your event be occuring on multiple dates? Seelcting repeat will allow you to add your event to multiple dates without having to input the information multiple times. Please read our section on repeating items (link to repating items) for more information.

Q: Add/Edit a Calendar Item - Part II: Additional Information
A:
Description: - This is where you should give a detailed, lengthy, description of your event. The more detail you give the more people you can attract.
Normal Text -or- HTML: - If you are not familair with HTML, select the "Normal Text" button and format your text with the whitesapcing as you would like it to appear. If you are familiar with HTML and would like to add formatting or style to the description select the "HTML" button.
Contact Info - This should be the name, and some method of contact preferably email or phone number, of someone that will know details about the event should a user have any additional questions.
Location: - Select the location of your event from the list of buildings. If your event is taking place off campus, or if the building is not listed please make a note of all of the location information within the description field.
Room: - The room where the event will be taking place.

Q: Add/Edit a Calendar Item - Part III: Participants
A:
When adding an event to the calendar, you may choose who to invite, or who is participating in an event
By default, you and General Campus - the central campus calendar - are participating in the event. You may remove your participation or the participation of the general campus by unchecking those boxes.
You may also add additional participants, other departments or clubs on campus, as co-sponsors of, or to invite them to, the event.
Groups that you are not an administrator of may be selected from the two select boxes. To select multiple groups:
On Windows/Linux: Hold the CTRL key and click the group you wish to un/select.
On a Mac: Hold the Apple key (⌘) and click the group you wish to un/select.
Note: The event will first have to be approved by that group's administrator before it appears on their calendar.
Groups that you are an administrator of should appear as checkboxes below the "Personal Calendar" checkbox. Events added to these groups will appear on their calendar without any further approval
When you are finished selecting your desired participants push the continue button.

Q: Add/Edit a Calendar Item - Part IV: Confirming the Details
A:
Here you can look over the details of your event confirming that everything looks correct. Please pay special attention to any warnings that may appear. If there is any incorrect information, use your browsers back button, correct it, and press continue.

Q: Add/Edit a Calendar Item - Part V: Adding Types
A:
Adding types to an event is important to help users locate the kinds of events that they are interested in, and is integral for type filtering (link to type filtering)
For each person/group that is participating in the event you may select the type(s) of event as it applies to that person/group.
If the type that you desire is not among the available options of your personal types or of a group of which you are an administrator, you should read the "Adding Types" (link to adding types) entry in the faq to learn had to add additional types.
When you are finished selecting yuor types, press the "continue" button.

Q: Add A Repeating Calendar Item - Part I: Create Repeat Schedule
A:
This is where you select the date range for your repeating item. In the next section you will be able to remove instances from within the range
Repeat Every: - This should be the interval on which it repeats. IE Every 1 Days = Everyday, Every 2 Weeks = Every Other Week.
Then you may select if this will repeat by day, week, date of the month, day of the month, or year
Repeat Until: - This should be on or after the date of the last occurence
When you have selected the desired repeat type, press the "Get Repeating Instances" button.

Q: Add A Repeating Calendar Item - Part II: Select Repeat Dates
A:
You will be given a list of dates meeting the criteria you defined in the "Create Repeat Schedule" section. By default all of the dates will be selected.
To remove any unwanted dates:
On Windows/Linux: Hold the CTRL key and click the date(s) you wish to un/select.
On a Mac: Hold the Apple key (⌘) and click the date(s) you wish to un/select.
When you have all of the desired dates selected click the "continue" button

The dates that you selected for your repeating event should be listed here, if there are any missing dates click back on your browser, select the desired dates, and press "continue."

Q: Access Control Lists - Part I: Grant Access For
A: Choose the calendar of which you want to change the viewing or submitting permissions.
You are provided with a list that includes "Your Personal Calendar" as well as all the groups of which you are an administrator.
By creating an acl for your personal calendar, you can allow people to see what events you are particpating in, allow them to suggest events to you, or prevent them from doing so as you wish.
By creating an acl for a group calendar, you can allow people outside the group to see the group calendar, suggest events to your group, or prevent them from doing such.

Q: Access Control Lists - Part II: Grant Access To
A: Here you choose whether you want to give permission to a user or to a group.
To give/deny permission to individual users, choose Users. To give/deny permission to everyone in a group, choose Groups.
You will then choose users or groups on the next page. The people that you select will then have permission to do certain things with your selected calendar as you choose in following steps.

Q: Access Control Lists - Part III: Find a User
A: Enter the name or email address of the person who you are giving permission to, and press "Search". You will then be given a list of matching people to choose from.
Include as much of their name as you can, because only 10 results will be displayed for security reasons.

A: Enter the name of the group to which you are giving permission, and press "Search". You will then be given a list of matching groups to choose from.

Q: Access Control Lists - Part IV: Choose Selected User
A: Choose one of the users in the list, or enter a new name in the search box. When you find the user you are giving permission to, click in the button next to their name and press "Choose Selected User" to continue.
To find out more about a user in the list, click their user number. This will display their profile. You can then use the back button in your browser to return to the ACL page.

Q: Access Control Lists - Part IV: Choose Selected Group
A: Choose one of the groups in the list, or enter a new group name in the search box. When you find the group you are giving permission to, click in the button next to their name and press "Choose Selected Group" to continue.

Q: Access Control Lists - Part VI: Select Access Permissions
A: Read Access specifies if the user/group can see your calendar.
- None - Cannot view anything on this calendar.
- Blocks - Can see that time is blocked out, but not what the events are.
- All - Can view all events on the calendar
Modify access allows a user or group to modify events as follows:
- None - Cannot suggest or approve events.
- Suggest - Can suggest events, but they must be approved by an administrator.
- Create/Approve - Can create new events and approve suggested events.

Q: Calendar Views - Filter Events By Category
A:
When viewing a group calendar you can filter the events that are shown to you by selecting only those you wish to see.
If there are a reasonable number of types, you can un/select multiple types by clicking on the checkbox next to the type.
If there are a large amount of types there will be a select box instead of the checkboxes. To un/select multiple types:
On Windows/Linux: Hold the CTRL key and click the type you wish to un/select.
On a Mac: Hold the Apple key (⌘) and click the type you wish to un/select.
When you are done selecting the types you wish to view click the "Filter Events" button.
To go back to the regular view click the "Show All Events" button.

Q: Item View - Approval Status
A:
The Approval Status option will appear if this event has been added to your calendar, or a calendar which you administrate
Options
Approve: - This will approve the event allowing it to appear on your, or your groups calendar.
Approve all: - This will approve all instances of the repeating event allowing them to appear on your, or your group's calendar.
Reject: - This will unapprove this item, hiding it, but not deleting it from your or your group's calendar.
Reject all instances: - This will reject all repeating instances of this event for your or your group's calendar
Delete from ... Calendar: - This will delete the event from your or your group's calendar.
Select Multiple Instances: - This will allow you to choose instances from the recurring events to delete.

Q: Item View - Options
A:
Edit This Item: - Will bring you to the edit interface to change any details, and participation of this item.
Delete This Item: - Delete this item from all calendars that are participating in the event.
Add Repeating Date(s): - If an item is repeating you may add one or more repeating dates to it
Delete Repeating Date(s): - You can select instances of this repeating event to delete.

Q: Day View - "Show Only Hours With Events"
A:
Clicking this link will hide all hours for which there are no events going on. If you are logged in it will remember this setting.
To go back to the regular view click the "Show All Hours" link.

If you have chosen to show only hours with events, clicking this link will return you to the regular day view.

Q: Calendar Navigation - # Items To Approve
A:
When this link appears it means that someone has added events to your personal calendar, or to the group calendar of a group you are an administrator of, that must be viewed and approved before they can become visible.

Q: Calendar Navigation - Your Calendars...
A:
This will provide links to your calendar as well as to calendars of groups that you are a member of. By default your calendar will show an aggregate of your events as well as those of groups that you are a member of. You can hide/show these groups, or their types by clicking on the "Show/Hide Events" link.
To view just the events of one group click on the group name in the list of links.

Q: Calendar Navigation - Show/Hide Calendars
A:
By default calendar links to the groups that you are a member of will be listed under "Your Calendars". If there are groups whose link you would like to hide, or one which you have hidden that you would like to show, you can do so by click on the "Show/Hide Calendars" link.
Note: This will not hide this groups events from your calendar, but rather will just hide the link to the group calendar from your navigation.

Q: Calendar How To - Approving Calendar Items
A:
On the items-unapproved page you will be shown a list of items that have been added to your calendar, or a calendar that you are an administrator of, for your approval.
Each non-repeating item will be listed in the following format:
- Title (Start Date Start Time)
[ options ]
Created by Name of Creator

Options
View: - This will open the event as it will appear to the user, with links for changing the approval status.
Approve: - This will approve the event allowing it to appear on your, or your groups calendar.
Approve all: - This will approve all instances of the repeating event allowing them to appear on your, or your groups calendar.
Delete from ... Calendar: - This will delete this event from your, or your group's calendar, and remove it from your unapproved list.
Delete Multiple: - This will allow you to choose instances from the recurring events to delete.
Delete All: - This will delete all instances of the recurring event from your or your group's calendar, and remove them from your unaproved list

Q: Types
A: Adding types to an event is important to help users locate the kinds of events that they are interested in, and is integral for type filtering.
To create a new type of event for your personal calendar or for a group calendar, enter the type in the New Type: field and press "Save". Example types could include Forum, Meeting, Breakfast, or Class.
When somebody creates an event, they will be able to designate it as a certain type. Users can then use type filtering to show only events of a certain type.

Q: Personal Calendar Filtering
A: Use this page to hide groups or types from your main calendar.
To hide all items that belong to a group, uncheck the box next to the group's name.
To hide certain types of events, uncheck the box next to the event type.
If you have event types selected but the group name deselected, all the events in the group will still be hidden.

Q: Edit Repeating Item - Edit Repeating Events?
A: You are editing a repeating event. It occurs multiple times in the calendar.
If you would like to edit more than one occurrence of the event, choose "Yes".
If you would only like to edit the occurrence of the event taking place on this date, choose "No"

Q: Edit Repeating Item - Choose Dates
A: Choose which occurrences of the event will be changed. By default all of the dates will be selected.

Q: Edit Repeating Item - Fields Being Set
A: This is a list of the fields which you changed on the previous page.
These are the only things that will be updated in the selected occurrences of the event.

Q: Calendar Error - Your event ends on the day following its start
A: The start time you entered comes before the end time. For instance, you might have entered a start time of 2PM and an end time of 3AM, or a start time of 10PM and an end time of 12AM.
Go back and correct the start and end times for the event.

Q: Calendar Error - Your event takes place in the past
A: The start time and date for your event has already passed. You will see this message if your start time occurred earlier today or on a day in the past.
You may go to the previous page to correct the start date.

Q: Calendar Error - No Write Access for Group
A: One of the groups you selected does not give you permission to suggest an event to them. Your event will not be added to this group's calendar.

Q: Calendar Error - You do not have write permission to any of the participants selected
A: None of the groups that you chose as participants in the event gave you permission to suggest events to their calendars. You need to have at least 1 user or group participate in an event.
If you want to add this event to your own calendar, go back and choose "Add to my personal calendar"
Go back, select alternate participants, and continue.

Q: This item must be approved by an administrator before it appears on their calendar
A: Your event has been submitted for approval, but it won't show up on this calendar until has been approved by an administrator.
Don't be afraid to contact an administrator of the group to have them sign on to the myBrandeis calendar to approve your event.

Q: Calendar Error - Your event could not be added to the following groups, because you did not have access
A: The groups in this list did not give you permission to suggest an event to their calendar, so the event could not be added to their calendar.

Q: Calendar Error - At least 1 user and/or 1 group must participate in an event
A: You must select at least one user or group to participate in the event.
If you want to add this event to your own calendar, go back and choose "Add to my personal calendar"
Go back, select participants, and continue.

Q: Calendar Error - End date must be AFTER start date

Q: Calendar Error - The event does not exist
A:
It is possible that you have an incorrect item_id or that you followed a link to an item that has been deleted. If you believe you have received this message in error please contact the Calendar Development Team.

Q: You are currently filtering by event type.
A: You are currently filtering group calendar display by type of event. Events of specified types will not show up on the calendar.
To change this, scroll down to the bottom of the page and click "Show All Events"
You can also use that interface to customize your group calendar filter.

Q: Personal Calendar Filter
A: You are currently filtering events from your personal calendar. Events of the types or groups you specified are being hidden.
To change this, look for the "Show/Hide Events" link on the sidebar under "Your Calendar"
